There are a variety of roles and permissions in the system granting different levels of access depending on your responsibilities. Each role defines how you can view, edit, or manage data across features such as Campaigns, Items, Assets, Locations, Bookings, and Stock Ordering.

1. Administrator
Full site access and configuration control
The Administrator has unrestricted access to all areas of the system. This role is responsible for managing site settings, user accounts, permissions, and all operational data.
Key Capabilities
Full control of all modules and configurations
Create, edit, and delete users
Manage campaigns, assets, items, and stock orders
Adjust global system settings and permissions
Access and modify all site data
Areas of Access
Campaigns – Create, edit, and manage all campaigns
Locations – Add, edit, and remove location data
Assets – Full asset management
Bookings – Create, edit, delete, and manage bookings
Stock Ordering – Create and manage orders
Items – Create, edit, delete, and monitor
Tags – Create and manage tagging structures
Users – Manage all user accounts and roles
Note: Assign this role with caution. It grants full control over all system data and configuration.
2. Artworker
Design-focused role for managing campaign artwork
The Artworker manages and uploads artwork for assigned approval jobs within campaigns.
Key Capabilities
View assigned artwork and approval jobs
Upload new or updated artwork files
Track artwork job statuses
Areas of Access
Artwork – Full access to assigned artworks
Campaigns – Access assigned campaign artwork sections
Note: Can only manage artwork and approval jobs specifically assigned to them.
3. Item Owner
Specialised role for managing items within campaigns
The Item Owner is responsible for creating, editing, and organizing items within campaigns.
Key Capabilities
View list of campaigns
Add or remove items from campaigns
Create, edit, duplicate, lock, or archive items
Areas of Access
Campaigns – View-only list access
Items – Full item management
Note: Suitable for users maintaining item accuracy across campaigns.
4. Superuser
High-level access with limited administrative control
The Superuser has extensive permissions, similar to an Administrator, but with restrictions on sensitive system configurations and certain modules.
Key Capabilities
Full access to Campaigns and Items
Edit and manage data across most modules
View-only access to Users, Locations, Features, and Suppliers
Areas of Access
Campaigns – Full access
Users – View-only
Locations – View-only
Features – View-only
Suppliers – View-only
Custom Fields & Trading Periods – No access
Note: Ideal for senior users who require broad visibility and control without full administrative rights.
5. Basic User
Standard access for day-to-day operations
The Basic User can create, view, and manage campaigns, items, and assets, with access to stock ordering and basic booking functions.

Access stock ordering
View and manage items and assets
Areas of Access
Campaigns – View & edit
Locations – View-only
Bookings – Create and manage
Asset Availability – Advanced search and booking
Stock Ordering – Create and manage orders

Users, Tags, Features – View-only
Assets – View and add new
Note: This is a general role for users performing campaign and item management functions.
6. Group Manager
Regional or area-level management role
The Group Manager oversees multiple store locations and manages stock orders across those groups.
Key Capabilities
View store groups and associated stores
Access and view Location Profiler data
Manage and track stock orders
Areas of Access
Dashboard – View store groups and stores
Locations – View-only access to profiler data
Stock Ordering – Create and manage stock orders
Note: Suitable for Area or Regional Managers coordinating stock ordering and performance.
7. Retail Media Manager
Manages all bookings and related sales activity
The Retail Media Manager focuses on capturing sales through booking management and high-level location visibility.
Key Capabilities
View and manage all bookings
Access location data and profiles
Search and create bookings
Areas of Access
Bookings – Full access
Locations – View-only access to profiler
Asset Availability – Search and create bookings
Note: Ideal for users managing retail media sales and placements.
8. Retail Media User
Booking-focused role with limited ownership
The Retail Media User manages only their own bookings and related sales.
Key Capabilities
View and manage owned bookings
Access linked location data
Search and create bookings
Areas of Access
Bookings – Access only owned bookings
Locations – View-only access
Asset Availability – Search and create bookings
Note: Restricted to owned bookings and related data.
9. Auditor

The Auditor role is typically used for compliance or verification purposes.
10. Printer

The Printer role is used for print production users who need access to final artwork or print-ready materials.
