Glossary of Terms in Colateral

These are terms and phrases used throughout the Colateral System and to help you out when creating your database.

Add onlyAdd an only filter for POS allocation rules
Add excludeAdd an exclude filter for POS allocation rules 
Admin (Module)Area of the system that control the database, data relating to assets and features and be uploaded here en masse using CSV's. Ability to add and manage users, and store/delivery addresses is held within this area also. 
Admin (user)Colateral developer only - shared account
Administrator (user)Access to data and configuration in Colateral
AllocationThe creation of store specific set of POS. Used for picking purposes by packing departments
ArtworkVisual file created by in/out of house studio or freelancer. Most often pdf/jpeg format
Artwork ApprovalColateral tool for users to review, amend and approve campaign artwork. Low resolution files recommended. This is not a DAM or FTP. Usually plugged into Campaign Builder software to allow a holistic centralized view of campaigns. 
Artwork BriefWritten instructional and technical information for creative teams / artworkers to enable artwork creation
Artworker Access to the artwork hub only, and can view campaigns allocated to them 
AssetThese are counts of the number of things in a store, ie doors, poster spots, changing rooms, tills etc. This can vary from one store to another 
Auditor Can only access the survey app (under review) 
Back OrdersOrders for items from the product catalogue, that are allowed even when stock is 0> 
Basic (user)Can access all of Colateral except Admin section. Can be linked to a store address to limit visibility to Campaign Viewer and Stock Ordering. 
CampaignA group of POS with allocation rules
Campaign BuilderCampaign creation software which allows campaigns to be built in a collaborative manner, with defined allocations, elements and creative briefs.Artwork Approval can be plugged into this module. 
Campaign ViewerCampaign installation software offering a highly visual way of communicating personalised campaign display instructions, and other information, with store teams, with built-in compliance and reporting capabilities,
Catalogue ManagementAdmin level management of the Product Catalogue, that dictates various information regarding stock such as inventory, active dates, max order quantities, whether approval is required etc
ComplianceA mechanism to confirm and quantify whether a certain task or action has been undertaken by a store user/s. This is recorded in Colateral as a quantitative figure based upon store viewing campaign instruction. 
Consolidated Orders The ability to group all store orders from stock ordering together per supplier within a certain timeframe. 
Duplicate campaignCopy a previously created campaign and all its contained data to create a new editable campaign. 
ElementSpecification of a poster/Artwork sign, i.e Size, Material, Colour and number of Sides
Element LibraryA list of items that can be produced or manufactured, this is usually unique to each client 
Element Short CodeShort code of element, that allows easy identification of elements items  
Element Specification Technical specifications of a printed item/substrate  
Executive (user)Can view Survey Reports only
Existing POS - changing to PrePrint in July2021Using a pre-produced existing POS in a new campaign i.e selecting POS that already exists in Colateral and putting it into a new campaign. This can be done as a reprint (no changes can be made to artwork or spec, but allocation can change), or a change item (which using the old item as a basis, but can be changed in any way) 
FeatureProperties of stores i.e store size, location, brand, theme, language. Each store can only have one answer, i.e. it can only be a small store and only have one language  
GuidelinesA composite visual instruction for store on how to implement a Campaign Viewer campaign. 
Merchandiser (user)Can only access Campaigns and Briefs shared with them. They can create Briefs in Campaigns shared with them. They cannot see a lot of other Campaign information
Notifications The action of sending a User an update. This could be a status change or a reminder, summary of changes 
PlacementWhere POS can be placed within a Space Variant.
POSPoint of sale, POS is an element and artwork brief combined or known as a printed item. 
POS allocation rulesDistribution of POS to store rules
POS Numbering Unique ref number attached to a POS/printed item to allow easy identification and created within the software, or added by the client 
Printer (user)Is the Basic User Type, and the revise button
Product CatalogueCollated library of items that drive Stock Ordering module
Ref number/idUnique Colateral id used for that item at the database level. This reference will never be reused, even if an item has been duplicated or reprinted. 
Send to Print The action that locks a campaign and moves it to Campaign Manager. 
SpaceA single view to store (this could be the shop front, or an aisle end etc)
Space VariantA variation of a Space (e.g whether the betting zone has 1, 2 or 3 betting machines). Technically every Space has at least one variant.
Stock OrderingColateral tool to centrally manage orders for marketing materials, promotional merchandise and other GNFR from remote teams / users
StoreA physical space that can receive delivery, have assigned spaces, make up part of an allocation. User Type assigned to a Store or delivery address 
Store Estate Store Profiling Tool, that includes all details about the store, Name. Assets, Features. Images. Audit data. 
Store GroupA list of stores with no assigned quantities 
Store ListA group of Stores that can be assigned into a campaign. These have editable quantity amounts.
Store List Priority Order Defines the most important Store list at the top, least at the bottom. If there is a conflict within a Campaign, the highest priority list will get preference. 
Superuser (user)Can access all of Colateral but limited access to data and configuration changes
