Campaign Items Table Explained

This article explains how to read and use the Items Table within Campaign Builder. The Items Table is the central workspace for managing all items of a campaign, tracking artwork progress, approvals, and allocation coverage across locations.

Admin: Full Access
Super User: Edit Data Only
Basic User: View Only

Understanding the Items Table

Each row in the Items Table represents a single campaign item (for example, a poster, POS unit, or digital screen). The columns provide a real-time snapshot of its readiness and distribution.

Table Columns

  • Name -  Displays the item name, element name and thumbnail for quick identification (e.g. “Door Sign, A5 Poster” or “Window Poster – Large”).


  • POS (Point of Sale)
     The POS or placement code that identifies where the item will be displayed.


  • Artwork
     Visual status indicator for artwork readiness:

    • Green check = artwork uploaded and ready

    • Red cross = artwork missing 


  • Artwork Brief Name
     The creative brief linked to the item, defining artwork requirements and instructions.

  • Ref Number
     A system-generated reference number used for internal tracking and reporting.

  • Artwork Approval Job
     Displays the assigned approval workflow, if applicable (e.g. “Standard Approval Flow”).

  • Allocations
     Shows how many locations or units this item has been allocated to.

  • Item Status
     Indicates the current lifecycle stage of the item (e.g. DraftReady).


Filtering Items

Use the filter sidebar to narrow down items by all things inside the Item Table

This is especially useful for large campaigns with many items.


More Actions Menu

Located in the top-right of the Items table, this menu allows you to:

  • View Locations
     See exactly which locations the selected item is allocated to
     (If no allocation exists, the modal will display “0 locations”)

  • Download Templates
     Access artwork templates or production files linked to the item

  • Edit-only Mode
     Lock the campaign into edit-only mode while final adjustments are made
